It is the responsibility of the participant to review his/her visa status and determine whether they need a visa or visa renewal for entering the country where the conference is hosted. We are not able to arrange visas for participants, therefore, it is up to the participant to pay any related fees, find out how to schedule an interview appointment and other instructions for the application process.
If you are likely to need a visa, we recommend that you make your application as soon as possible. To help you, once you have registered and paid to attend, we can issue a letter which confirms that you have registered and paid to participate in the conference. If you need a letter, please read carefully the instructions below.
Please note that visa letters will be only issued to:
- Authors of accepted papers, who have paid their registration fee in full;
- Committee members;
- Invited guests and speakers;
For details that apply specifically to your country please visit a website of the nearest Consulate or Embassy of the country hosting the event.
Note: We recognise that some participants are only able to apply for funds to attend the conference once their paper has been accepted. In order to assist you in this, you are invited to submit your paper as soon as possible after the paper has been accepted and do not need to wait for the published paper submission date. Please tell us in your accompanying email that you are submitting early because you need a visa. We will then endeavour to complete the review process within 3 weeks of receiving your submission and hope that this will then give you sufficient time to obtain funding, register and pay to attend and apply for the visa.
How to get an invitation letter for a visa application?
If you need an invitation letter for visa application, please send us an email to [email protected], providing us with the following information along with a copy of your registration payment:
- Full name as it appears in your passport,
- Date of Birth,
- Full Address,
- Passport number with date of expiry.
- If you are an author of an accepted paper please also include the paper ID.
Please take into account that we won’t be able to provide you with an invitation letter, unless you send us a copy of your payment.
