1 All academic paper presenters need to register in the "Academic Paper Author & Presenter" category (student or non-student rates, depending on their status). This means that for each accepted paper in the Academic Stream, at least one author who is also presenting at the conference is required to register at the Academic rate. All additional presenters for the same paper also need to register at this rate. Co-authors who are not presenting and do not want to register another paper, can register as "Non-Presenter Attendee", which excludes them from presentation. Each Academic registration covers a single paper only; additional papers may be added to the registration for a supplemental fee.

2 In order to qualify for any of the Student rates, we require a copy of a valid student ID or official letter from the educational institution certifying that the registrant is enrolled as a full-time student. Please scan and email a copy of your CURRENT student photo ID (.jpg, .tiff, or .pdf acceptable) from an accredited institution of higher education to registration@immersivelrn.org.

3 The Doctoral Colloquium is intended for graduate/research higher degree (Master's by Research and Doctoral) students only. Students presenting at the Doctoral Colloquium but who will not publishing a paper in the peer-reviewed proceedings may register for free. Those publishing in the proceedings must register using the "Academic Paper Author & Presenter (Student)" category.

4 Presenting authors of Academic Full, Short, or Work-in-progress papers to be published in the proceedings are not eligible for any of the Practitioner rates. Presenters of Workshops, Special Sessions, Panel Sessions, Practitioner Oral Presentations, and Practitioner Posters may register at the Practitioner rate, but all contributors must register at that rate, provided they are not also presenting an Academic paper.

5 In order to qualify for the Practitioner Presenter (EDU) rate, the registrant must be a faculty member, staff member, or student of an educational institution (K-12 school/district, college, university, museum, library) and must register using an email address associated with that institution.

6 Representatives of vendors wishing to present at the conference are not eligible for any of the Practitioner rates. They may either: (a) register at the Vendor Presenter rate, which includes an opportunity to deliver one 30-minute presentation (subject to review and approval by the Conference Organizing Committee); or (b) purchase a Sponsorship or Exhibition package, which includes additional benefits.

7 Each Academic Paper Author & Presenter registration covers ONE paper only. Additional papers may be added to the registration for a supplemental fee. No single author may be the registered presenter on more than two Full or Short papers for oral presentation, even with the payment of the supplemental fees. There is no limit, however, on the number of additional Short and Work-in-progress papers for poster presentation on which an author may be the registered presenter (with payment of the supplemental fees)


NOTE: Due to our policies and to comply with the regulations of conference host institutions, invitation letters (Visa Letters) will be provided to registered authors of accepted papers only.

Refund and Cancellations Policy


1. If a registrant is unable to attend the conference for any reason they may substitute, by arrangement with the Registration Chair, someone else from the same institution/organization. Contact us at registration@immersivelrn.org

2. Where the registrant is unable to attend and is not in a position to transfer the registration to another person, then the following refund arrangements apply:

  • Registrations canceled more than 30 days before the starting date of the conference will be refunded 80% of the registration fees.
  • Registrations canceled less than 30 but more than 15 days before the starting date of the conference will be refunded 50% of the registration fees.
  • Registrations cancelled less than 15 days before the starting date of the conference will not be eligible for a refund.

3. Registrations from authors canceled as a result of their paper or proposal not being accepted for the conference will be refunded 80% of the registration fees, provided the cancelation request is received in writing (email or fax) within 10 working days (Mon-Fri, excluding U.S. public and bank holidays) of the author being notified of the paper rejection decision or more than 30 days before the start date of the conference, whichever is later. After that, the refund arrangements in clause 2 above will apply.

4. Registrants who have fully paid but for whatever reason unable to attend the conference will receive an electronic copy of the conference proceedings.

 

Refunds will be made in the following ways:

  • For payments received by credit or debit cards, the same credit/debit card will be refunded.
  • For all other payment methods, a bank transfer will be made to the payee’s nominated account.


Please note: For payments received from outside the USA by bank/wire transfer, the refund will be made by bank transfer, and the registrant will be responsible for all international transfer fees and other bank charges.
